Position Overview:

As an Office Assistant, you will play a crucial role in maintaining the smooth operation of the office by providing administrative and clerical support to ensure efficient workflow. You will be responsible for handling various tasks and responsibilities that contribute to the overall productivity and organization of the workplace. Your attention to detail, excellent communication skills, and ability to multitask will be essential in carrying out your duties effectively.

Key Responsibilities:

1. Administrative Support:

- Perform general office duties, including photocopying, scanning, mailing, and filing documents.

- Manage incoming and outgoing correspondence, such as emails, letters, and packages.

- Maintain office supplies inventory, anticipate needs, and place orders when necessary.

- Coordinate and schedule appointments, meetings, and conferences.

- Assist in preparing reports, presentations, and other relevant documents as requested.

- Maintain and update company databases and records.

2. Reception and Communication:

- Greet visitors, answer phone calls, and direct inquiries to the appropriate individuals.

- Provide information to clients, customers, and employees, both in person and over the phone.

- Ensure a professional and welcoming atmosphere in the office.

3. Data Entry and Documentation:

- Accurately input data into electronic systems or databases.

- Organize and maintain physical and digital files, ensuring confidentiality and security.

- Compile, verify, and sort information for data entry purposes.

4. Support to Other Departments:

- Assist other team members and departments with administrative tasks as required.

- Collaborate with colleagues to improve office processes and efficiency.

5. Office Maintenance and Organization:

- Monitor and maintain office equipment and supplies, arranging repairs and replacements when necessary.

- Keep the office area clean, organized, and presentable.

- Coordinate with external vendors and service providers as needed.

Qualifications and Skills:

- High school diploma or equivalent; additional education or certification is a plus.

- Proven experience as an office assistant, administrative assistant, or in a similar role.

- Proficient in using office software and equipment, including MS Office (Word, Excel, Outlook) and office machines (e.g., printers, scanners).

- Excellent written and verbal communication skills.

- Strong organizational and time management abilities.

- Attention to detail and accuracy in completing tasks.

- Ability to handle multiple priorities and work under pressure.

- Strong interpersonal skills and ability to work effectively as part of a team.

- Discretion and respect for confidentiality.

Job Type: Full-time

Salary: AED3,000.00 per month

Ability to commute/relocate:

  • Dubai: Reliably commute or planning to relocate before starting work (Required)
