Now is the time to join North Valley Hospital's (NVH) work family! We have an excellent opportunity for a professional executive assistant to provide a high-level of support to the hospital s medical staff and the compliance officer.
Candidates must have "executive assistant" experience with advanced clerical skills and strong proficiency in use of Microsoft Word, Excel and Outlook, and accuracy in word processing and data entry. Candidates must have a high level of attention to detail, organizational skills and ability to multitask and think critically; ability to function with minimal direction is required.
This position works 80 hours/pp and has a regular schedule of Monday through Friday, 8:00a to 4:30p; however, must be able to work between 6:45a to 6:30p as needed to accommodate scheduled meetings. Be aware that ! schedules and shifts are subject to change based on patient ca! re and departmental and organizational needs.

Position Responsibilities:
I.Coordinates medical staff meetings and activities.
(A)Schedules all medical staff meetings for the calendar year.
(B)Reminds all committee members of upcoming meeting and routes preliminary agenda with necessary attachments. Key staff members receive prior meeting minutes in time to prepare for meeting.
(C)Reminds staff of recommendations that require a follow up report at the meeting.
(D)Prepares accurate meeting agendas and meeting packets prior to meeting.
(E)Maintains accurate and timely meeting minutes.
(F)Follows up on committee recommendations. For example, routing approved policies through appropriate channels, coordinating topics and discussion between different committees, schedules speakers.
(G)Coordinates and obtains locum tenens coverage.
II.Processes medical staff and allied health staff applications and reapplications for membership a! nd privileges.
(A)Prepares credential files timely for review by credentials committee performing requested and required primary source verifications according to our bylaws.
(B)Maintains a current credential file for all medical staff members following up on obtaining license, insurance, DEA, and other required certificates.
(C)Initiates and processes reapplications every 2 years in timely manner according to Bylaws.
(D)Routes current privilege lists to designated departments by maintaining credentialing program current, assigning user passwords, and providing program instructions.
(E)Researches and develops privileging forms for different clinical specialties for medical staff approval.
(F)Coordinates new provider orientation.

II.Clinical Support
(A)Attends and transcribes minutes for hospital-related meetings as requested.
(B)Provides clinical support upon department manager request.
IV.Compliance Support
(A)Monitors Compl! yTrak for contract renewals. Assists with routing reminders. Reviews fi! nal contract for all required signatures prior to scanning.
(B)Maintains ComplyTrak to assure all contracts are captured, renewal dates available, ownership established, and provides user access.
(C)Assist with provider insurance enrollment, applications, and reapplications.
V.Policies
(A)Manages routing and approval process for all hospital policies.
(B)Maintains current policy folder and stores retired policies.
VI.Other duties as assigned

Education and Experience Requirements:
A.High school graduate or GED
B.Previous experience in medical staff credentialing.
C.Type 60 WPM minimum
D.Ability to work independently and manage multiple projects
E.Effective organizational, verbal and written communication skills
F.Telecommunication experience
G.Working knowledge of FAX and photocopy machines
H.Working knowledge of Medical terminology
I.Proficient in word processing software utilization such as Microso! ft Word, Excel, Outlook.
